How to Write a Catering Proposal That Closes (With a Free Template)

A catering quote says "here's what it costs." A proposal says "here's why you should book me." The difference is worth a 15–25% bump in close rate.

When a quote isn't enough

Write a full proposal when:

  • Event value is $2,500+
  • Corporate client (they expect it)
  • Competing against 2+ caterers
  • Wedding or milestone event
  • Custom menu design

Under $1,500 with a simple price request — send a clean invoice-style quote.

The 9-section structure

1. Cover page

Client name, event date, your logo, your name, send date. One page, white space. Sets the tone.

2. Executive summary (3–4 sentences)

> "Thanks for reaching out about Sarah and David's wedding on August 15. Based on our call, we're proposing a seated dinner for 110 guests with a local, seasonal menu — and an espresso bar for late-night — at a total of $13,840 all-in."

Price and scope up top, not on page 7.

3. About us

Three sentences max. Years, philosophy, one signature detail. Nobody wants your bio.

4. Proposed menu

Group by course. Make food sound good. Not "chicken" — "Pan-seared Mary's Farm chicken, lemon-caper jus, crushed fingerlings."

5. Service style and staffing

  • Service (buffet/plated/family/stations)
  • Crew count
  • Timeline (load-in, service, breakdown)
  • What you bring vs at venue
